We understand the importance of privacy and strive to ensure transparency in our practices. This document outlines what  information we gather,how we utilize it , who has access  , and the measure we take to ensure your data remains secure while using our Sales CRM platform, Marketing platform, Mobile application, and Website. 

What Information Do We Collect ?

We only collect the information that we actually need. We collect the following information directly from you, or through the Service.  As you navigate our websites, SalesTown may collect information using commonly used tools such as cookies and web beacons. We use the below mentioned  information to improve our websites and product. With it, we collect-

  3. Open / Click-through tracking URL: In some of our email communications, we use a “click-through tracking URL” that, when clicked, sends you to a different web address, which logs your click, before redirecting you to your expected destination.

1. Information from Browsers, Devices, and ServersWhen you visit our websites, to request information about us or our Services,use our software, register for a SalesTown CRM cloud account, register to attend an event, for our blogs, for the platform, for the  marketplace, or join in our community discussions, and apply to join our partner program, we may collect the data that web browsers, mobile devices, and servers provide, including the below information. This information is included in our log files to help us understand visitor behavior on our websites for improving the marketing startegy.

  • Internet protocol (IP) address
  • Browser type
  • Language preference
  • Time zone
  • the  URL ( how you got to the website, the pages you visit, the amount of time you spend on each page, the links clicked, and your navigation patterns)

Information Collected by SalesTown

1. Information from Account Registration: When you create an account to access our product or services even for a trial period, we collect the following:

  • Full Name
  • Contact number along with Country code
  • Email address
  • Business name and Industry
  • Default Currency 
  • No. of Users  looking forward to using SalesTown 
  • How you reach us 
  • Your chosen unique username and password. You also need to verify your email through OTP  when signing Up.  

2. Information from Event Registrations and Other Form:We gather information when you:

  • Subscribe to newsletters or mailing lists
  • Participate in contests or surveys
  • Raising ticket  for  customer support 

 3. Information from Payment ProcessingWhen you make a purchase, we ask for:

  • Name
  • Contact information
  • Credit card information or other payment account details

We store the cardholder’s name, address, expiry date, and the last four digits of the credit card number, but we do not retain the full credit card number. With your approval, we may store your payment information in an encrypted format for future transactions.

4. Information from Testimonials & Support Communication:

If you authorize us to publish your testimonials about our products and services, we may include your Name, Company Name, Logo, Profile Photo, Designation, and  Industry. If we communicate with you to offer support through any medium (Phone, Support Chat, Email, & Messaging apps such as WhatsApp) we will collect, record, and store your below information with our sales and customer support teams—to enhance our service quality and customer satisfaction. We collect –

  • Screen Recording  through Jam, a third-party software extension( as per the seriousness of the ticket raised by the customer)

How Do We Store and Secure the Data We Collect?

Information submitted is stored on private servers that are not accessible from the Internet, preventing malicious use. Financial information is encrypted and stored on these private servers, and users can choose to transmit order information via a secure connection for added security.

Your password is your primary safeguard after creating a SalesTown account. Therefore, we strongly advise you to create a robust password that you keep confidential and never share with others. Additionally, please remember to log out of your SalesTown account after you finish using it.

However, no method of internet transmission or electronic storage is completely secure. We cannot guarantee the absolute security of your data, and you transmit and store it at your own risk. We also cannot ensure protection against breaches of our safeguards. In case of a security breach, we will notify you and the relevant authorities as required by law or If you believe your information has been compromised, please contact us support@salestown.in.

Retention of Information   We retain your Information as long as the user’s account is active or for the period necessary to fulfill its original purpose. We may retain information to comply with legal obligations, resolve disputes, and enforce agreements. Specifically:

  • Active Use: We retain your personal data for the duration of your account’s active status or as long as needed to provide our services to you. This includes managing your account, processing transactions, or fulfilling any contractual obligations.

  • Legal and Regulatory Requirements: Even after your account is deactivated or you no longer use our services, we may retain your information for a period mandated by applicable legal, tax, accounting, or regulatory obligations. This includes situations where your data is required for audits, compliance, dispute resolution, or enforcing our agreements.

  • Data Deletion: Once your data is no longer required for business or legal purposes, we will securely delete or anonymize your personal information from our active databases. Any backup copies will also be purged within a reasonable timeframe, in line with our data retention policy.

  • Account Closure: If you choose to close your account or no longer use our services, we will delete your personal information within 90  days of the closure, except where it is necessary to retain specific data for legal or regulatory reasons.

  • Billing Information: Financial and billing-related information may be retained for a minimum of 3 years, as required by Indian tax laws and accounting standards, or until the data is no longer required for dispute resolution or legal purposes.

  • Backups: Backup copies of your data are maintained for 90 days for recovery and system integrity purposes. These backups are securely stored and are not accessible for day-to-day operations but will be purged after the specified period.

  • Anonymized Data: We may retain anonymized or aggregated data for analytics, research, and business planning purposes, which does not identify individual users.

Purpose of Collecting & Using Information?

The purposes for using information within SalesTown CRM include enhancing communication with users about products they’ve engaged with, such as updates on features or important policy changes. It is also used to keep users informed about new offerings, promotions, events, and other relevant updates that align with their interests. SalesTown CRM may use information to solicit feedback, conduct surveys, or improve service interactions. Additionally, the data helps in account management, collaboration, and providing necessary services like customer support and backups. Lastly, the information is crucial for identifying trends, detecting fraud, and refining marketing efforts for better user engagement.

Mobile Application

When you download, install, and use our mobile application, our apps may request access to certain features and data on your mobile device to deliver a seamless and enhanced user experience. Here’s how we handle data related to mobile applications:

  • Automatic Data: Our mobile applications may automatically collect the type of Device you use and OS version identification, language, and time zone. It may also collect information regarding Users’ interaction with Mobile Applications, which SalesTown may use to provide and improve the Mobile Application services.

  • Access to Device Features: If you grant permission, our mobile applications may access specific device features such as your camera,  photo library, files, location, and other information stored on your mobile device. This access is necessary to enable core functionalities within the app, such as uploading photos  as attachments for leads and feedback, tracking your sales team  with geotracking with our CRM platform.

  • Location-Based Information: When you access the Field Track option in the mobile application for the first time, we may request permission to track the geographic location of your device. We ask the location permission to offer features like finding nearby contacts or setting location-based meetings and reminders. This data is shared exclusively with our trusted mapping service providers to display your location and enhance mapping-related features within the app.

  • Control Over Permissions: You are in full control of the permissions you grant to our mobile applications. At any time, you can adjust your device settings to disable access to the camera, location, or other features. This can be done within your mobile device’s privacy settings without impacting the core functionality of the app.

  • Data Storage and Transfer: The information collected by the mobile application will either remain locally on your device or be transferred to and associated with your account on our servers, depending on the app’s function and your preferences, for better service management for the Customer. Data shared with us is securely stored and managed in accordance with this Privacy Policy. 

  • Security Measures: We employ strict security protocols to protect any data that is accessed or stored via our mobile applications, ensuring it is safeguarded against unauthorized access, alteration, or misuse.

Push Notification:  Our CRM mobile and web applications may send push notifications to to inform you of updates such as meeting reminders, new features, product updates, service-related messages, and promotional offers. These notifications are intended to enhance your user experience and ensure you stay updated on relevant activities within the app. If you have enabled notifications, these alerts will be delivered through third-party push notification providers such as Apple Push Notification Service (APNS), Google Cloud Messaging (GCM), or Windows Push Notification Services (WNS).

You can choose to enable or disable push notifications at any time by managing the settings on your mobile device. This can be done through the app’s settings or directly from your device’s notification settings. By enabling push notifications, you agree to receive alerts as per your preferences. These notifications are sent based on your interactions with our services, such as upcoming tasks, meetings, or updates that require your attention. Please note that while changes to your account will be reflected in our active databases promptly or within a reasonable timeframe, we may retain information for backup, archiving, fraud prevention, analytics, legal obligations, or other legitimate reasons. Additionally, you can choose not to share certain Information , though this may limit some features and functionalities of the service. If you would like to receive push notifications about activity in your account, you will be prompted to opt-in; however, you can disable these notifications anytime in the settings of SalesTown applications for mobile devices. 

Opting out of non-essential communications: You have the option to unsubscribe from newsletters and promotional emails by clicking the ‘unsubscribe’ link in those messages. However, you will still receive important notifications, including account-related emails (such as password updates ,renewal reminders, weekly monthly and annually reports), security alerts, privacy updates, and essential transaction or payment information.

Disabling cookies: You can disable cookies through your browser settings before visiting our websites, though this may impact your ability to use certain features fully.

Optional information: You may choose not to provide optional details like your profile photo or other non-mandatory information. You can also update, change, or remove this information at any time, and you are not required to fill out non-essential fields in forms on our site.
